To help manage your inventory, you can manually enter inventory levels in your portal for each product listing and option.
What are the different types of inventory on Faire?
There are three types of inventory on Faire:
- On hand: The total number of units that are in stock. You can update the quantities of your on-hand inventory.
- Committed: The number of units that are already allocated to orders. We count the number of units in your unfulfilled orders, including any pending orders from retailers with incomplete profiles. You can’t update the quantities of your committed inventory.
- Available: The number of units available to sell. We subtract the number of committed units from your total on hand (on hand - committed = available). You can’t update the quantities of your available inventory.
Can I edit my inventory?
Yes, you can edit your On hand inventory within your account from three different areas in your brand portal:
- Products page
- Inventory page
- Bulk upload page
How do I mark a product in stock?
To mark a product in stock, just add 1 or more units to its inventory count. As long as the product is published, it will automatically update to in stock when you save your changes.
How do I edit inventory from the Products tab?
- Go to your Products page.

Select the product you want to edit.
- To edit multiple products at once, select the checkbox for the products and select Bulk edit. You can edit the On hand Inventory column and select Save edits.

Under Inventory details, enter the number of units in stock in the On hand field.
- If you have multiple variants for a product, inventory levels can also be set per product variant by entering your quantity under Product options.
- Select Update to save your changes.
How do I edit from the Inventory tab?
- Go to your Products page.
- Select Inventory from the dropdown menu.

Enter the On hand inventory for each product, or select Upload a spreadsheet to set the on hand units for multiple products.
- To upload a spreadsheet, you can download our template or upload your own, but it must be a .CSV file that matches the exact formatting shown in the pop-up window.
- Upload your completed file by selecting Select file, or drag and drop the file into the pop-up window. Don’t close the pop-up window until you see a confirmation message that the file is done loading.
- Select Save changes to apply your updates.
How do I edit inventory from the Bulk upload tab?
- Go to your Bulk upload page.
- Select Download next to the template that matches your needs.
- When the spreadsheet downloads, enter the number of units in stock in the On hand column.
- Navigate back to your Faire Bulk Upload page and select Start upload.
- Select Upload completed spreadsheet and choose your file to add your new inventory counts.
- Make sure to press Submit so your upload completes.

Why is my product listed as out of stock?
Your inventory counts automatically update when retailers buy your products. When the available inventory for a product drops below your stated minimum order quantity, the product is listed as Out of stock and can’t be purchased from your shop page. It will remain out of stock until you update your on hand inventory count for that product. This also happens if your on hand inventory reaches 0 units. To update your inventory, utilize one of the processes outlined above.
Can I sell items listed as out of stock?
Yes, you can adjust your product settings if you prefer to keep selling a product that is out of stock. This option is only available if you're tracking inventory and have a value listed in your on hand inventory. To continue selling out of stock products:
- Go to your Products page and select the product.
- Choose the checkbox to continue selling when out of stock within the Availability section of your product editor page.
- Enter a value for On hand inventory.
- Select Update to save your changes.
Out-of-stock settings can't be edited through the bulk edit tool. This change must be made using the Bulk uploader. To edit out-of-stock selling settings for multiple products at once:

Go to your Bulk upload tab and select Download next to your existing catalog.
- In the downloaded file, go to the Products tab.
- Set the Continue selling when out of stock column value to Yes to enable the setting for that product, or No to disable the setting.
- Save the edited file as a CSV.
- On your Bulk upload tab, select Start upload.
- Choose Upload completed spreadsheet and select your updated file.
Why was my retailer able to order an item listed as Unavailable?
If you have checked the option within the product editor to continue selling when out of stock, retailers will be able to purchase unavailable items. If you prefer not to sell items when they’re out of stock:
- Go to your Products page and select the product.
- Deselect the checkbox to continue selling when out of stock within the Availability section of your from the product editor page.
- Select Update to save your changes.
Can I backorder items if I don’t have enough inventory to fulfill an order?
Yes, if you receive an order but don’t have enough inventory to fulfill it, you can mark items as out of stock or mark the items as discontinued. To learn more about how to backorder items visit: Can I set items out of stock or discontinued?
Can I add an out of stock product to an order?
No, a product that is listed as out of stock won’t be able to be added to an order. The product will need to be marked as in stock to take this action:
- Select the In stock icon from the product editor page.

Add the On hand inventory if you’d like to track inventory counts for the product.
- You can leave the On hand inventory field blank if you prefer not to track inventory.
- Select Update to save your changes.
Why should you set inventory levels for your products?
We encourage you to set inventory levels for your products whenever possible, as this helps prevent your retailers from accidentally purchasing more of your products than you can fulfill. However, you can stop tracking inventory levels for a given product at any time by removing the value from your on hand inventory. Leaving your on hand inventory blank means you're not tracking your inventory on Faire.
Can my retailers receive notifications when an item is back in stock?
Yes, retailers can request to be notified by selecting a Notify me when back in stock option on the product page. You can see when a retailer requests to be notified when an out-of-stock item is available from your Inventory tab. When a product becomes available again, Faire automatically emails these retailers. Please note that you can't see which specific retailers submitted these requests. When the product comes back in stock, we send an automatic email to those retailers.
