Why do I need to submit a WRO?
Submitting a WRO is required so the warehouse can safely and accurately receive your inventory. A completed WRO helps ensure:
- Compliance: The warehouse must know what inventory is being handled and whether it includes any dangerous goods.
- Receiving efficiency: Advance details allow the warehouse team to plan labor and dock availability.
- Inventory accuracy: Clear item, quantity, and packaging details help prevent discrepancies during receiving.
- Upfront information: Providing complete shipment details in advance reduces delays and receiving issues.
How do I create a WRO?
To get started, go to Receiving > Receiving Orders and click Send Inventory. This will launch the WRO creation flow, which includes six steps. You can go back and edit details at any point before submitting.
Step 1: Select Fulfillment Center
Under Sending To, select NA-27 Midwest Receiving Hub 2 from the drop-down menu.
- Optionally, enter the related PO number in the PO # field.
Click Save & Continue to move to Step 2.
Step 2: Select Items to Send
Select the products included in your shipment. You can search by SKU, product name, ShipBob ID, or Inventory ID.
- You can select multiple products at once.
- If applicable, enter lot numbers and expiration dates.
Important:
Mismatched lot numbers or expiration dates may cause your WRO to be flagged under On-Hold Receiving (URO).
Enter the quantity for each item.
Next, confirm that all applicable items are properly marked as DG/HAZMAT. This is required for shipments from the US, Canada, or Mexico to destinations within those regions. Missing Safety Data Sheets (SDS) or incorrect identification may result in a URO.
Click Save & Continue to proceed to Step 3.
Step 3: Choose Shipping Method
Select how your inventory will be shipped:
- Parcel (Standard Shipping): Up to 50 boxes
- Palletized Container or LTL (Less Than Truckload)
-
Floor-Loaded Container
- Only one WRO per container
- WRO labels must be attached
- Multiple containers under one WRO are not accepted and will be treated as a URO
Next, choose how items are packed:
- One SKU per box (recommended)
-
Multiple SKUs per box
Note: You cannot mix different lot numbers of the same SKU in a single box or pallet.
Click Save & Continue to move to Step 4.
Step 4: Configure Box Details
Enter the number of boxes and item quantities per box.
- For multiple SKUs per box, click + Add SKU.
- For palletized shipments, only internal box configuration is required.
- To add more configurations, click Add next box configuration.
Click Save & Continue to proceed.
Step 5: Enter Estimated Date of Arrival
Enter the estimated arrival date of your shipment at the fulfillment center.
Click Save & Continue to move to the final step.
Step 6: Review and Submit WRO
Review all WRO details carefully. If everything looks correct, click Submit Receiving Order.
A confirmation pop-up will appear:
- Click Confirm to finalize your WRO
- Click Cancel to return and make edits
Next, click Download Box Labels to download:
-
Page 1: Box labels with barcodes (required—attach to the outside of each box/pallet/container)
-
Page 2: Optional packing slip (not required for receiving)
Click Done to complete the process. You’ll be redirected to the WRO page, where you can track the status and details of your receiving order.
What do I do after creating a WRO?
Once your WRO is submitted, complete the following steps to avoid receiving delays:
1. Attach Labels
Attach labels to the correct boxes, pallets, or containers.
Best practices:
- Place labels in a visible location
- Use a printer with fresh ink
- Do not place labels over seams
- Ensure every unit is labeled correctly
Incorrect or missing labels can result in On-Hold Receiving (URO).
2. Select Carrier & Add Tracking
After submitting your WRO:
- Select the delivering carrier
- Enter a tracking number for each box
You can update this information later if needed by editing your WRO.
What are the different WRO statuses?
After submission, your WRO will move through the following statuses as your inventory is received and processed:
- Awaiting: ShipBob is awaiting the arrival of goods at the hub location.
-
Hub: Inventory has arrived at the hub. This status may include:
- Partially arrived at hub
- Arrived at hub
- Processing
- Internal Transfer: Inventory has been counted and is being transferred from the hub to the destination fulfillment center.
- Destination FC: Inventory has arrived at the destination fulfillment center and is undergoing processing.
-
Receiving Completed: Inventory has been received, stowed, and is fulfillable.
