When you ship an order using your own carrier account instead of Ship with Faire, we reimburse you up to a limit based on the shipping cost you enter during fulfillment.
When you mark an order as shipped using Ship on your own, you’ll be asked to enter:
- Your tracking number, for multiparcel orders include all tracking numbers
- The shipping cost you paid
We add this shipping cost to the retailer’s invoice and include it in your payout once the order is processed.
To make sure you’re reimbursed correctly:
- Enter your actual shipping cost when you add tracking.
- Review the amount before confirming the shipment.
- Shipping costs can’t be edited after the order is marked as shipped.
What is the reimbursable limit?
When you ship using Ship on your own, we reimburse shipping costs up to a maximum limit based on the order total. You won’t be able to enter a shipping cost above this limit during fulfillment.
If your shipping cost exceeds the reimbursable limit, you’ll need to enter a lower amount to complete fulfillment or choose a lower-cost shipping method. If you choose to continue using your shipping method that exceeds the reimbursable limit, you will cover the difference.
You can see the maximum reimbursable amount when you add tracking on the fulfillment page.
Why is there a reimbursement limit?
The reimbursement limit helps keep shipping costs proportional to the order value and protects retailers from unexpected shipping fees. It also creates consistency across the marketplace.
If your shipping costs regularly exceed the limit, Ship with Faire is likely the most cost-effective option for you. We’ve negotiated rates directly with carriers, so labels purchased through Ship with Faire are often cheaper than buying postage independently.
You can compare shipping rates on the order’s fulfillment page before choosing a shipping method.
What does “shipping cost exceeds reimbursable amount” mean?
This message appears when the shipping cost you entered exceeds the order’s reimbursable limit. You will not be able to mark this order as fulfilled with this shipping cost.
How do I complete fulfillment when I see the error “shipping cost exceeds reimbursable amount”?
To complete fulfillment, you can choose one of the following options:
Enter the maximum reimbursable amount
- Enter the highest allowed amount shown during fulfillment.
- You’ll be responsible for any shipping costs above this amount.
Adjust your shipping method
- If the order hasn’t shipped yet, choose a different shipping option that brings the cost within the limit.
For example, switching to Ship with Faire may give you access to lower carrier rates.
What if I entered the wrong shipping cost?
What you can do depends on the order status.
If the order hasn’t been marked as shipped:
- Go to your Orders page and select the order you want to edit
- Select Cancel next to the Shipping details
- Enter the new Tracking number and package cost.
- Select Confirm once all tracking numbers and costs have been added to the order
If the order has already been marked as shipped:
- Shipping costs can’t be edited through the standard fulfillment flow.
You may be able to request a correction by contacting support and providing:
- Your order number
- Your actual shipping cost
- A copy of your shipping receipt
Requests submitted more than 45 days after shipment may not be eligible for adjustment.
Where can I review my final reimbursement amount?
You can review your final shipping cost reimbursement amount in:
- The payment details section of your order
- Your CSV (comma-separated values) payment file
How do I read the shipping section of my payout summary?
Shipping can appear in two places on your payout summary, and each section shows different information.
Order calculation — what the retailer paid
Shipping appears alongside the product subtotal and tax. This is the amount charged to the retailer at checkout. It isn’t a deduction from your payout and is shown for transparency.
Payout calculation — your remaining shipping cost
For most SOYO orders, this line will show $0. This means the retailer-paid shipping already covers your full shipping cost.
You’ll see a non-zero amount only if the retailer's shipping cost is below your actual carrier cost. In that case, the difference is added to your payout so you’re reimbursed appropriately.
