An update to reimbursements when Faire pays for shipping


In this guide


For select brands, if Faire is paying for shipping on an order and you choose to fulfill it through Ship on your own using your own carrier rates, we’ll reimburse you based on Faire’s negotiated rates.


Who does this apply to?

This update applies to your brand if Faire covered more than $5,000 USD in free shipping for your brand in a year, and our shipping rates are more competitive than your reported costs. We calculate the free shipping covered for your brand by looking at the free shipping we've covered in the last 6 months and annualizing it (i.e., multiplying by two).

If this reimbursement update applies to you, we will notify you in advance with details about the reimbursement changes.

If you’re unsure whether this applies to your brand, or you believe your shipping rates are more competitive than the rates available through our shipping label, you can reach out to our support team for review.


Why is Faire making an update to how Ship on your own orders are reimbursed?

We’re updating how Ship on your own orders are reimbursed to reflect the lower shipping rates we’ve negotiated with major carriers.

In 2025, by leveraging the collective shipping volume on Faire, we worked with UPS and FedEx to reduce shipping label rates by an average of 20%.*

For 2026, we’ve reduced these rates even further by an average of 18%.** These lower rates help you offer more competitive pricing to retailers, which can lead to more orders for your brand.

Using Faire’s lowest available rates when we’re paying for shipping helps us make the most of every dollar, so we can continue investing in programs that support your growth, including:

  • Reaching more retailers.
  • Building stronger relationships with your existing customers.
  • Driving more opportunities for repeat orders.

*Based on Ship with Faire shipping data from January ’25 to March ’25, compared to what UPS and FedEx rates would have been with our improved pricing.

**Based on Ship with Faire shipping data from October ’25 to December ’25 for Fedex and August ’25 for UPS, compared to what UPS and FedEx rates would have been with our improved pricing. 




Which orders are affected by the reimbursement update?

This reimbursement update will only apply to orders where Faire covers the shipping costs (ex: some Insider orders, Faire Direct free shipping orders, and other free shipping incentives).


How to identify Faire-funded free shipping orders?

To identify these orders, check the promotions applied field within the order summary—if it shows From Faire: Insider free shipping or From Faire: Faire Direct free shipping it is a Faire-funded free shipping order, and will be reimbursed at our Ship with Faire rate if you fulfill using your own carrier.


How will reimbursements work?

If you use your own carrier account and label to fulfill an order where we cover the shipping cost, we calculate your reimbursement based on Ship with Faire rates.

Here’s how it works:

  1. You provide a valid tracking number when fulfilling the order.
  2. We use that tracking number to verify shipment details, including package dimensions, weight, carrier service, and destination.
  3. Package dimensions and weight are determined based on carrier scans as the package moves through the carrier’s network.
  4. We calculate the shipping cost using Ship with Faire rates for the same carrier, service type, and package details.
  5. We reimburse you based on that calculated rate.

For example, if you ship with UPS Ground, we compare your shipment to the Ship with Faire rate for UPS Ground with the same specifications.

If the Ship with Faire rate is lower than your reported shipping cost, your reimbursement will be based on the lower rate. This means you’ll cover the difference.

For example:

  • If your reported shipping cost is $20 USD and the Ship with Faire rate is $18 USD, we will reimburse $18 USD.

Why does my payout say TBD Pending Shipment?

Your shipping reimbursement rate will be visible once the order status updates to "shipped" in our system. This update typically happens within 24 hours of the package being picked up. Until our system reports the order as shipped, your payout summary will say TBD Pending Shipment.


How does reimbursement work for multi-parcel orders?

If you ship a multi-parcel order using multiple packages, you must add each tracking number to the order to receive full reimbursement.

Here’s how it works:

  1. Add every tracking number associated with the order when you mark it as fulfilled.
  2. We calculate reimbursement separately for each tracking number based on Ship with Faire rates.
  3. Your total reimbursement is the sum of all eligible shipments tied to the order.

If you don’t include all tracking numbers, you’ll only be reimbursed for the shipments that were provided.

Adding all tracking numbers also ensures retailers can accurately track each package and understand shipping progress.

Missing tracking details can impact both your reimbursement and the retailer’s delivery experience.


How do I reconcile my shipping cost now?

Your shipping reimbursement amount is accessible in two locations:

  1. The payout summary section of your brand order page shows reimbursements for individual orders.
  2. Your downloadable payout CSV file, found on your Payouts page, gives a full overview of all shipping reimbursements for your account.

    In the exported file:
    • Column O reflects the shipping cost you paid, which includes the label cost and any handling fee you entered.

    • Column P shows the shipping reimbursement—this is the amount you’re reimbursed when Faire or the retailer covers shipping. It includes both label and handling costs.


Can I be exempt from this update?

If you believe that your shipping rates are more competitive than Faire's, please contact us.


Does Faire offer shipping solutions that don't require reimbursement?

Yes, you can take advantage of our discounted rates without paying upfront or dealing with reimbursements by using Ship with Faire.
